State Personnel Office announces automation of Job Architecture project

ORGANIZATIONS IN THIS STORY

The State Personnel Office, in collaboration with the Department of Finance and Administration's SHARE team, is set to automate the Job Architecture project. Updates to position and employee job data will take effect on August 2, 2025.

The SHARE team has outlined specific requirements for position actions from July 5 to August 2, 2025. All updates must have an effective date of July 5 or earlier and be entered into SHARE by July 11. No updates are allowed in SHARE HCM until after August 2. Any updates with an effective date after July 5 should be communicated to the SPO Workforce Planning analyst and entered post-August 2. Agencies can continue submitting requests for Creates and Reclassifications during this period, but these will only be processed after August 2. Compensation actions such as in-grade hires, salary upon transfers, promotional increases, in-pay band adjustments, and temporary recruitment and retention differentials can proceed without restriction.

In preparation for changes in SHARE recruitment due to Job Architecture, there will be a brief pause on new job postings. Agencies are advised not to create postings after July 25; they may resume posting on August 1. Draft postings must be submitted and approved by specified dates or deleted and recreated post-August 1. Postings must have a remove date of July 30 or earlier.

For continuous postings:

- The last day for a 21-day posting is July 9.

- The last day for a 30-day posting is June 30.

For standard postings:

- The last day for a five-day posting is July 25.

- The last day for a seven-day posting is July 23.

- The last day for a ten-day posting is July 20.

- The last day for a fourteen-day posting is July 16.
